Job Description
POSITION SUMMARY
Under the leadership and guidance of the Director of Development, the Administrative Assistant to Development provides support for the daily management and administration of the NEO Development Foundation on a full-time (hourly) employment basis. This position will maintain collaborative relationships with all major departments of Development including public relations, marketing, graphic design, alumni relations, and the NEO Foundation.
ESSENTIAL FUNCTIONS
- Works closely with all campus personnel in relationship to public relations, marketing, alumni, stakeholders, and current students.
- Organize and maintain record keeping and information for the Development Office. This includes all office procedures such as purchasing, travel coordination, correspondence, and maintain tracking/filing systems to maintain efficient workflow.
- Assist in planning and organizing events within the Development Office.
- Oversee the maintenance of office equipment and supplies.
- Oversees all mailings/correspondence which includes maintaining accurate contact information and assistance with the production of the correspondence.
- Responsible for payroll deduction records, donor records, deposits, accounts payable, accounts receivable, and account reconciliation for the Development Office.
- Responsible for setting up PO/purchases through OK Corral.
- Maintain scholarship information, including applications and scholarship award letters.
- Effective communication skills, both oral and written; attention to detail, and ability to multi–task and stay organized under tight deadlines.
- Ability to maintain confidential information.
POSITION QUALIFICATIONS
- One or two years of college preferred.
- Two to three years of related experience preferred.
OTHER REQUIREMENTS
- Must have strong verbal and written communication skills, eager to engage with people individually or in groups.
- Must have a working knowledge of Microsoft Office products and related apps, including Outlook, Outlook calendars, and Excel.
- Familiarity with Funds Fix and Quickbooks platforms.
