Job Description
POSITION SUMMARY
Under the leadership and guidance of the Executive Director of Development, the Development Specialist provides critical support for the daily management and administration of the NEO Development Foundation. This full-time position plays a key role in alumni engagement, donor relations, grant curation, and marketing efforts to enhance the college’s public image and strengthen relationships with stakeholders. The Development Specialist will collaborate with public relations, marketing, graphic design, alumni relations, and the NEO Foundation to support institutional development initiatives.
ESSENTIAL FUNCTIONS
- Work closely with campus personnel, alumni, donors, and stakeholders to enhance public relations and marketing efforts.
- Coordinate alumni outreach campaigns, including newsletters, social media updates specific to alumni, reunions, and networking events.
- Assist in donor communications, including acknowledgment letters, updates, and impact reports to maintain transparency and demonstrate the impact of contributions.
- Research and curate grant applications.
- Support the Development team in creating strategies to increase donor giving levels and encourage sustained contributions.
- Assist in donor cultivation and stewardship efforts through personalized communication, recognition, and appreciation initiatives.
- Curate and archive alumni stories to preserve institutional history and highlight notable achievements.
- Maintain donor and alumni records in data base, ensuring data integrity and confidentiality.
- Prepare reports and presentations for donor meetings, board meetings, and fundraising events as needed.
- Provide general administrative support to the Development team as necessary.
- Exhibit strong oral and written communication skills, attention to detail, and the ability to multitask under tight deadlines.
- Maintain confidentiality regarding sensitive donor and alumni information.
- Organize and maintain records and information for the Development Office, including purchasing, travel coordination, and correspondence, ensuring efficient workflow and tracking systems.
- Assist in planning and organizing alumni, donor, and development-related events.
- Manage and oversee office equipment, supplies, and operational needs.
- Coordinate all mailings and correspondence, ensuring accurate contact information and assisting with the production of outreach materials.
- Maintain financial records, including payroll deduction records, donor contributions, deposits, accounts payable/receivable, and account reconciliation for the Development Office.
- Handle purchase orders and procurement through OK Corral.
- Manage scholarship information, including applications and award letters.
- Develop and maintain an alumni database to facilitate engagement, communication, and outreach efforts.
- Engage with alumni through events, communications, and networking opportunities to foster a lifelong connection with NEO.
POSITION QUALIFICATIONS
- Bachelor’s degree.
- Two to three years of related experience preferred.
- Strong verbal and written communication skills with a willingness to engage with individuals and groups.
- Proficiency in Microsoft Office products and related apps, including Outlook, Outlook calendars, and Excel.
- Familiarity with Funds Fix, QuickBooks, and CRM platforms for donor and alumni management.
