Job Description

POSITION SUMMARY

Works with faculty, the general public, students, and students records; Must be aware of admissions policies and financial aid regulations; Assist the Registrar with all areas of operation for the Admissions/Registrar’s Office; Assist with the preparation of numerous and varied reports.

ESSENTIAL FUNCTIONS

  • Assist the Registrar in all areas of office operation for the Admissions/Registrar’s Office.
    • Assist in the preparation of statistical information and reports for admissions, registration, and graduation
    • Maintain all office related records
    • Office management-
      • Day-to-day supervision of admissions/registrar office staff
      • supplies and form ordering and maintenance
      • Assist with admission/registration website updates
      • Assist with accurate and timely reporting to the Oklahoma State Regents for Higher Education
    • Assist the Registrar with all admission and registration activity for the campus.
    • Assist the Registrar with maintenance of accurate and updated policies and procedures based on state and federal regulations.
    • Direct the activities involved with the evaluation and transcription of all academic records for transfer students.
    • Assist with the analysis and resolution of student disputes as they relate to admission/registration.
    • Collaborate with appropriate campus staff and faculty to facilitate and improve services to students.
    • Direct the preparation of all student transcripts and coordinate the sharing of information with other institutions.
    • Supervise the maintenance of the document management system.
    • Maintain all grade files.
    • Serve on institutional committees as directed by the Registrar
    • Provide a full range of student support services online and by telephone
    • Assist online students with learning how to navigate the student portal and online student services.
    • Assist online students with admissions and enrollment processes
    • Other duties as assigned.

POSITION QUALIFICATIONS

  • Bachelor’s Degree required.
  • 3 years of direct experience or 5 years in a related area. Preferred 5 years of direct experience in a community college.
  • Strong interpersonal, oral and written communication skills
