Job Description

POSITION SUMMARY

The Registrar is responsible for overseeing and managing all aspects of student records and registration services. The Registrar is responsible for creating and maintaining class schedules as prescribed by the academic departments. The Registrar is responsible for ensuring students meet graduation requirements. The position will manage transcript systems and requests and verify athletic eligibility. The Registrar plays an integral part in maintaining the integrity and accuracy of student academic records and ensuring compliance with college, board of regent and state and federal regulations.

ESSENTIAL FUNCTIONS

  • Develop and manage the academic class schedule each term in coordination with academic departments
  • Coordinate with electronic transcript system to ensure proper management and release of student transcripts, coordinate the release of official transcripts sent from the college.
  • Ensure the integrity, accuracy, and security of student academic records.
  • Verify student-athletes’ academic eligibility in compliance with institutional and NJCAA regulations.
  • Maintain accurate records of eligibility and communicate status with coaches and the athletic departments.
  • Provide guidance to student athletes regarding academic progress and eligibility requirements
  • Develop, implement, and maintain policies and procedures as appropriate for records management and retention.
  • Maintain compliance with FERPA (Family Educational Rights and Privacy Act) and other relevant regulations.
  • Complete the transcription of all transfer courses into the student information system to be applied to student transcripts.
  • Maintain the student information system transfer equivalency data to ensure accurate transfer of courses.
  • Coordinate with faculty concerning course equivalency and course substitutions.
  • Oversee the maintenance of the student information system for registration and planning.
  • Work with Oklahoma State University for system upgrades and improvements
  • Provide training and support to staff on student information system functionalities.
  • Provide exceptional service to students, faculty, staff, and community.
  • Address and resolve registration, records, and transcript-related inquiries and issues.
  • Prepare enrollment, registration, graduation, and other relevant data as requested
  • Oversee the graduation application process and ensure students meet all academic requirements for graduation.
  • Coordinate with department faculty regarding student graduation status and needed resolutions.
  • Verify and certify graduation eligibility and confer degrees.
  • Assist with commencement ceremony.
  • Coordinate with offices across campus for processing student withdrawls.
  • Maintain academic standing for all students. Communicate with students and advisors regarding academic status and requirements.
  • Other duties as assigned.

POSITION QUALIFICATIONS

  • Bachelor’s degree required; Master’s degree preferred.
  • Higher Education Administration experience, preferably in a registrar’s office.
